Methodology
Base budget = transport + nights × lodging + days × meals + other. Contingency = base budget × selected percentage ÷ 100. Total budget = base budget + contingency.
Example
$400 transport + 2 × $120 lodging + 3 × $50 meals + $50 other = $840. A 10% contingency adds $84 for a $924 budget.
Guidance
- Use quoted prices inclusive of fees where possible, and identify taxes excluded from each quote.
- This is a cost budget, not a per diem entitlement. Do not reimburse both an allowance and the same actual cost without checking policy.
- Compare approved budget to actual spending after the trip to improve future estimates.

- Does this include taxes?
- Only when you include them in the entered costs. Otherwise add them to other trip costs.
- Is the contingency an extra reimbursement?
- No. It is planning headroom, not automatic permission to spend or an employee entitlement.
- Is this for one traveler?
- Enter all costs consistently for either one traveler or the entire group. Do not multiply already-total transport costs twice.
